Email represents the quickest way for people and businesses to transfer information and perform their daily tasks. Company archives and files contain an increasing number of printed emails, or critical gaps where important information has been transferred using email and not included with the existing paper files and archives. TokOpen provides tight integration with Microsoft Outlook that allows employees to save email documents directly into a TokOpen folder. Any attachments included with an email are maintained when imported to TokOpen.
Managing the security and storage of email documents resolves the problems caused by employees storing these same documents multiple times within their personal filing systems. You are able to view folders containing emails along side other related documents, such as scanned, application, and even documents that have been printed from your transaction and mainframe systems. Enforcing a clear document policy that deletes all emails over a certain age ensures Exchange servers to run more efficiently. These same emails are still available, even though they may have been deleted off the Exchange server. As with all other documents, they are now centrally managed and protected within TokOpen as a Document Type.
